As the organizer of the world’s largest inclusive sports event for people with and without intellectual disabilities, we are expecting around 7,000 athletes and Unified Partners from 170 countries in Berlin from June 17th to 24th, 2023. With the Special Olympics World Games, we are sending a worldwide signal: Our goal is to make a sustainable contribution to an inclusive society and to achieve a change in thinking with and after the World Games. With heart and hand, we are committed to opening up sports clubs more to people with intellectual disabilities and to further promoting sport in organizations that help people with disabilities.

To strengthen our team, we are looking for a person in the Constituent Services, Functional Area Ticketing and Spectator Services division to start as soon as possible

“Group Engagement and Ticketing, Coordinator/Manager”  ( m/f/d)

Special Olympics World Games 2023 in Berlin

Full-time / 40 hours a week / limited until 2023

WE WOULD ENTRUST YOU WITH THE FULFILLMENT OF THESE TASKS:
  • Under the supervision of the Senior Manager of Ticketing and Spectator Services and in cooperation with our Legacy team, you will be responsible and coordinate the day-to-day running of the Fans in the Stands program for the 2022 Special Olympics National Games and the 2023 World Games this
  • Provide excellent customer service to members and potential members of Fans in the Stands. Handling inquiries by phone, post and email
  • Facilitate the ticket booking process for each group and their booking confirmation before the event
  • Working with the education team to compile educational resources and information for each audience prior to the event
  • Overseeing and facilitating the sales and engagement plan and actively engaging with the Berliners and wider communities to attract new members to the program. This includes reaching out to local community groups, advocacy groups and other external individuals. This is being done in collaboration with the Education functional area, which will target schools, universities and other groups.
  • Overseeing the day-to-day management of the CRM system and ensuring the system is kept up to date and streamlined
  • Collaborated with the Marketing and Public Relations team to create marketing campaigns and promotional materials
  • Management of the logistics for the on-site “Fans in the Stands” experiences during the games. This includes supervising the “Fans in the Stands” volunteers, who meet groups upon their arrival at venues and help them participate in on-site activities such as: B. Unified Sports Experiences and Fan Activation Zones
  • Coordinating the communication plan with our Fans in the Stands members leading up to the event, including facilitating initiatives to encourage communication between members and athletes leading up to the event
  • Working with our sponsorship team, you will manage the relationship with our program naming rights sponsor.
  • Supporting the Ticketing and Viewer Services team in their duties as the department as a
IT WOULD BE GREAT IF YOU HAVE THESE SKILLS:
  • Completed studies in the field of marketing/sales, art, economics, tourism or sports management or a comparable qualification
  • Several years of experience in a similar position in sales, ticketing or community management. Ideally in an arts, culture, sports or educational environment
  • Knowledge of CRM or event management systems such as SalesForce or Monday.com
  • Ideally knowledge of the German sports and cultural landscape
  • Knowledge of customer service management support systems such as Zendesk
  • Strong ability to work effectively with people from other disciplines and at different levels of the organization
  • Years of experience providing first class customer service and a penchant for creating connections and dealing with stakeholders
  • Proven sales or customer service experience and ability to focus on sales objectives
  • Ideally experience in managing volunteers/teams in an event/festival environment, particularly in customer service
  • Sensitivity to the needs of participants and volunteers
  • Structured and efficient way of working
  • Ability and willingness to communicate in English and German (essential)
