Team Coordinator, Race Promotion
The Team Coordinator will be a resource for the Race Promotion team, work closely with the PA to Director and be across any race or admin task required. Responsibilities include, but are not limited to:
- Support with the logistics and planning of bi-annual promoter workshop / summit to ensure smooth delivery for all commercial partners and other promoter events as, and when needed.
- Supporting PA to Director on managing various RP team contractor invoicing and expenses, such as Track TV.
- Foster a working relationship with finance to ensure invoicing is up to date.
- Working with finance and partnerships team on processing ticketing purchases made from promoters.
- Regular review of F1.com ticket site to check ticket inventory for each race – updating team on any unavailable ticket categories at pre-determined dates (3 months, 2 months out etc).
- Scheduling meetings for promoters visiting other events; liaising with internal F1 departments on agendas and schedules ahead of race weekends, and key milestone dates.
- Supporting PA to Director on Managing internal records of Promoter contacts to ensure most up to date information is saved.
- Oversee the RP Updates email account to ensure Promoters receive all important comms and announcements.
- Support team with gathering important Promoter data updates to share with the wider business, such as ticket reports.
- Support team to collate updates and feedback from wider business to feed into post-event documents and feedback sessions with Promoters.
- Distribution of media kit covers and letterheads four weeks prior to each race.
- Take an active role in supporting team in asset approvals process with brand approvals and marketing/creative team.
- Supporting Head of Race & Market Development on managing Promoter Portal content.
- Supporting PA to Director on managing accreditation requests.
- Manage and distribute RP travel tickets (from central travel team) ahead of race travel.
- Expense claim management for all levels of relationship managers.
